Stock management software for small business
CraftSense Pro keeps track of what you hold, where you hold it and what it's worth — barcode stock checks across every location, restock suggestions, VAT reporting and exports for QuickBooks or Xero. Built for makers and small independents, not for warehouses with an IT department.
From £9 a month. Works on phone, tablet, Windows and Mac — no app store needed.
What you get for day-to-day stock control
Barcode stock checks
Count with a handheld scanner or your phone camera. Scan the item, type the count, and the difference is logged with a date and a name against it.
Multi-location stock
Track the same product across a shop, a stockroom, a van and a storage unit — each with its own sub-locations, shelves and bins.
Reorder before you run out
Set minimum and maximum levels per product. Low items appear on a restock list with suggested order quantities, and you can email yourself a daily low-stock digest.
VAT reporting
Sales, costs and expenses roll up into a VAT summary and a profit and loss view, so quarter end isn't a scramble through receipts.
QuickBooks & Xero export
Export your sales and expenses in a format your accounting software accepts, or download plain Excel files for your accountant.
Works when signal doesn't
Stock counts carry on in a cold stockroom or a field with no bars, then sync as soon as you're back online.
Design and artwork files
Keep cut files, SVGs, embroidery files and print-ready PDFs in one private store, linked to every product they're used on — up to 50MB a file.
Insurance and certificates
Store public liability insurance, food hygiene certificates and licences with their expiry dates, get emailed before they run out, and send them with a fair booking.
Posters, flyers and QR codes
Build print-ready posters, leaflets and social posts from your own products, prices and logo, with QR codes pointing at your shop or booking page.
Bundles, loyalty and your own shop
Sell gift sets that deduct their parts from stock, reward repeat customers with points, and share a public catalogue customers can browse.
How to get set up
- 1
Load your stock list
Import an existing spreadsheet or add products as you go, with photos, SKUs, barcodes, cost price and sale price. Print your own barcode labels if items don't have one.
- 2
Set your locations
Add each place you hold stock, plus sub-locations for shelves, boxes or bays. Print a QR code for each one so a scan pulls up everything stored there.
- 3
Count, sell and reorder
Scan to count, sell from the built-in till, and raise purchase orders to your suppliers. Receiving an order puts the stock straight back into the right location.
- 4
Keep your working files with the stock
Upload the design files behind each product — one graphic can be linked to as many products as you like, with notes on sizes and settings.
- 5
Check the numbers
Reports show what sold, what it cost you and what you made, with VAT and accounting exports ready when you need them.
